How Accountants4All organises portal records, company access and workflow information.

One person, many entities

A person has one portal identity. That identity can be linked to multiple companies, partnerships, trusts, properties or personal records through explicit access permissions.

Entity separation

Documents, messages, services and deadlines are recorded against the relevant entity. Users should check the selected company before uploading or approving anything.

Document status

Portal labels may include submitted, reviewed, approved, rejected and archived. These labels describe workflow status and do not necessarily mean a statutory filing, legal signature or professional conclusion has occurred.

Credentials

Passwords, MFA codes, recovery codes and banking credentials should not be stored in the client portal. Where operational credentials must be managed, Accountants4All uses an approved business password manager and record only an external reference in the portal.

Retention and access review

Access rights, retention dates and client status should be reviewed periodically and when a director, employee, adviser or authorised representative changes.
