How Accountants4All collects, uses, secures and retains information across the website and client portal.
Information we may collect
Website enquiries may include name, email, phone number, company name, preferred contact method, services requested and the message submitted. Portal records may include identity and contact details, organisations and relationships, services, onboarding responses, deadlines, documents, messages, approvals, audit events and access permissions.
Why information is used
Information may be used to respond to enquiries, assess and establish engagements, perform identity and compliance checks, deliver agreed services, manage deadlines and records, communicate securely, administer accounts, protect the portal, meet professional and legal obligations and improve service delivery.
One person and multiple entities
A single portal user may be linked to several companies or other records. Access is granted explicitly for each entity. We should not rely only on matching email addresses to determine access.
Documents and credentials
Documents should be stored and accessed only through authorised portal functions. Passwords, MFA codes, recovery codes and banking credentials should not be submitted through public forms or stored as ordinary portal data. Operational credentials should be managed through an approved password manager where necessary.
Sharing and processors
Information may be handled by hosting, email, identity-checking, e-signature, practice, bookkeeping, accounting, payment, security, backup and professional service providers where appropriate. Processor terms, security and international-transfer arrangements should be reviewed before use.
Retention and security
Records should be retained only as long as required by the engagement, professional obligations, legal requirements, dispute needs and documented retention policy. Access controls, encryption where appropriate, backups, audit records and periodic access reviews should be used to protect information.
